Outsourced technical management

What does an outsourced food technical function manage?

What ongoing technical support can own across teams, customer requests, audits and supplier platforms — and which decisions stay with your business.

Published

When we take on an outsourced technical function, we start by asking what is waiting for a decision. A customer has asked for evidence. NPD wants to move a product forward. Procurement is waiting on a supplier. Operations has an open corrective action. Each piece of work touches technical, but it does not arrive in one tidy queue.

Our job is to give that work an owner and a route through the business. We agree what Primor will manage, what stays with your team and who has authority when a decision affects a product, customer or site. That is how technical support becomes a working function rather than a collection of documents revisited before an audit.

The work between departments

A new product is a useful place to see the handoffs. NPD needs time to develop and test it. At the same time, someone needs to make sure the specification, ingredient and supplier information, allergen position, process controls and customer requirements keep pace with the product being developed. We work with NPD, procurement, operations and commercial so a change reaches the people who need to act on it.

We want NPD doing NPD. If product developers become the default place for every supplier document, customer questionnaire and technical follow-up, development time gets swallowed by work that needs clear technical ownership. An outsourced function can take on agreed parts of that workload and keep the decisions connected to the people making and selling the product. The exact split depends on the capability already inside the business.

The same applies after launch. A supplier changes a document, a customer asks a new question, or a site team raises a concern about how a procedure works in practice. We need a way to decide who checks the implications, who updates the record and who tells the next team. A shared inbox or a software login does not make that decision by itself.

Customer requests and audits need continuity

Customer technical requests rarely follow the internal timetable. They may need a specification, questionnaire, supplier evidence, explanation of a control or progress on an open action. We first establish what the customer has actually asked for, where the reliable answer sits and who is authorised to give it. If the answer needs input from more than one department, we pull those contributions together and keep track of what has been promised.

Where audit support is part of our agreed scope, it can include preparing the team, attending a customer or independent scheme audit on site, answering technical questions alongside the site team and following up actions afterwards. Being there can help when a question needs the person who owns the process, the current record and a technical explanation at the same time. We keep answers tied to what actually happens; the customer or independent audit body makes its own findings and decisions.

An audit day is only one point in the work. We also look at whether the actions raised afterwards have owners, whether changes reach the relevant teams and whether the evidence stays current between visits.

Systems help when someone owns the information

Many businesses have customer or supplier information in several places. One may use Qadex, now Ideagen Supplier Management, for supplier information; another may use Sedex to manage and share responsible business information with customers. Those platforms serve different purposes. Neither replaces the judgement needed to check a request, maintain accurate information and follow up what is missing.

Where these platforms are part of our agreed function, we maintain records and answer requests in them. We agree access, approval rights and escalation with your team so an answer is checked against the underlying evidence before it is sent. The aim is a reliable trail from the request to the decision, whether the information sits in Ideagen, Sedex, a customer portal or your own records.

What should stay with the business?

Outsourcing does not remove your operational and legal responsibilities. It needs an agreed scope: the products and sites covered, decisions Primor can make, decisions that need your approval, site attendance, access, review rhythm and escalation route. We make those boundaries visible so your people know when to involve us and we know when to hand a decision back.

Before discussing a contract, bring a sample of the work that is landing now: recent customer requests, open audit actions, a product or specification change, supplier issues, the NPD pipeline and the systems your teams use. We can map the workload and agree where ongoing technical ownership would make the biggest practical difference.
